Spring 2008 Club Showcase
Club Showcase registration deadline: January 9, 2008 at 5pm
KoRT has made a few significant changes to this Spring’s Club Showcase in an effort to attract more students to the event….students who will hopefully become members of your organization. KoRT has created a theme and plans on decorating the outside of the Student Union in order to create a mardi gras atmosphere (with games, activities, prizes, and performances). Groups are encouraged to decorate their tables and utilize the theme in an effort to enhance the overall event and attract potential members. Additionally, tables will be arranged in no particular order/group. Finally, groups will be given the opportunity to showcase their talents on the Student Union stage. We hope you agree that these enhancements will better the event.
Because almost 400 Registered Student Organizations (RSOs) will be vying for approximately 50 table spaces both days, KoRT has established some ground rules to make registration and participation fair. KoRT asks you to carefully review and adhere to them during the event. Student organizations that do not adhere to the rules may lose their table privileges.
- Organizations must be registered with OSI (Spring 2008) by January 14 (i.e. Spring Update Form needs to be submitted by this day) in order to participate.
- An RSO has the ability to register for both days of Club Showcase.
- RSOs must check in at the KoRT table between 9:30 and 9:45am on the day(s) for which they are signed up. Tables must be set up by 9:50am. Failure to comply with this regulation will result in the organization’s table being released to a group on the waiting list.
- There can be no amplified sound at the organization’s table.
- RSOs may have no more than three representatives at their table at one time, and these representatives must stay at the table during the event (cannot distribute materials outside of the table space).
- RSOs may bring their own tent, banner, and/or table runner for the table (they will not be provided). All RSOs are encouraged to decorate to the mardi gras theme (including holding games/activities for students).
- RSOs may offer give-aways for a donation to a charity, but are not allowed to sell anything or fundraise for the organization.
- All flyers/handouts and give-aways (food, etc.) must be within UCF and Student Union guidelines (e.g., no homemade baked goods, no promotional material that advertises alcohol or illegal substances, etc.). Anything questionable or offensive will be handled appropriately by KoRT and OSI.
- Any damage to organization, KoRT, Student Union, or UCF property will be paid for by the RSO that caused the damage.
- Penalties for a “no show” or cancellation within 24 hours on any of the days for which the organization is signed up:
- If applicable, the RSO’s privileges of having a table at the next day of Club Showcase will be taken away and given to a group on the waiting list, or
- The RSO will have 2nd level priority when it comes to the Fall 2008 Club Showcase (i.e., the group, upon registration for the Fall event, will be placed onto the waiting list and will receive a table only if space permits)
- In addition to the above penalties, RSOs that have a cubicle in OSI could choose to accept one cubicle strike instead
- Exception to the rule – If the organization sends a cancellation notice (to kort_org@mail.ucf.edu) at least 24 hours prior to the registered date(s), the group will be exempt from the above penalties.
- Bad weather: In the event of inclement weather on either the 15th or 16th the Club Showcase will be held inside the SU Cape Florida Room. All organizations that do not show will receive a “no show” penalty.
- There are a limited number of tables each day for Club Showcase. The contact person will be notified if the group is confirmed or on the waiting list for each day. Groups on the waiting list should still arrive by 9:45 on the day(s) for which they are on the waiting list.
- Organizations will—on a first come, first serve basis—have the opportunity to show off their talents on stage. Time on stage will be limited to 10 minutes per organization, and the performance must exhibit an aspect of the mission of the student organization. KoRT reserves the right to deny performance privileges to any organization. Please keep in mind that, according to the University’s sound policy, there will be no amplified sound permitted from 10am-12pm. From 12-2pm, amplified sound is permitted.
By completing the form below, I confirm that I have read the above rules and regulations. I agree that my organization will adhere to them and I understand that if they are broken, the organization may lose its table reservations at Club Showcase. I also agree that the organization will check in and staff the table for the appropriate times/dates for which it is registered.
